Exhibitor Guidelines

Dear Exhibitor,

Welcome to Canadian Telecom Summit 2024!

The information presented here is designed to help you prepare for a successful event. In the following sections, key information can be found such as booth specifications, registering your booth staff, shipping information, and most important, insurance requirements.

Every company that exhibits at events must be covered by insurance. Neither Show Management nor the building owners will accept responsibility for injury to persons, loss of or damage to products, exhibits, equipment, or decorations, by fire, accident, theft or any other cause while in the building or on the grounds. Laptops and small items of value should be removed when the tabletop is not manned.

Exhibitors must provide proof of adequate insurance for their own personnel, exhibits, and materials against all such hazards. Click here to read the Insurance Requirements. Please email a copy of your certificate showing Macgregor as an additional insured to [email protected]

Move-In Day & Time | Sunday, June 16th | 3:00 pm – 5:00 pm

Exhibit Day & Times | Mon – Wed, June 17-19th| 8:30 am – 5:00 pm (7:30 pm on Monday)

Move-Out Day & Time | Wednesday, June 19th| 3:00 pm – 5:00 pm      

When arriving at the space, use the doors on the street level for easy access. They will be marked by a flag. 

Check in at the registration desk for your location and booth staff badges. 

On move out day, please do not begin to disassemble your booth until after 3:00 pm as a courtesy to your fellow sponsors and attendees. Please be sure to pack all belongings and clearly mark any garbage to be tossed. If you have made arrangements for items to be picked up by a shipping company have them arrive by 3:30pm. At the close of the show, items left on the premises after 6:00 pm, will be removed and put into storage at the exhibitor’s expense. After-show warehousing can be pre-arranged if necessary.


To avoid having to line up to register your booth staff, you can pre-register or pass this link to your booth staff so they can register themselves. Once registered, pick up your badge at the Registration Desk during move-in or during the show. Each exhibiting company can have up to two (2) staff at any given time.  For security reasons, you will be required to wear your exhibitor badge in a prominent location when entering the show floor.

The exhibitors will be situated in the Frontenac Ballroom Foyer. We will send out a floorplan and booth number closer to the event. Each exhibitor will have a 10’ x 10’ booth space. It will be set with an 8’ high back-wall black drape, one (1) 6’ x 2’ black skirted table, two (2) chairs, and ONE (1) 1500-watt duplex outlet. Pre-fab booths are allowed. 

If you do not require the table and chairs or if you plan to bring your own booth, please let us know. 

If you want to rent any items for your booth, Robinson is the preferred decorator. 


Robinson Show Services Inc. is the official decorator and supplier of booth items. Order before May 17th for savings.

Some sponsor packages include the Lead Retrieval Licence. If yours did not, we strongly recommend using it to capture all attendees who visit your booth.  The Lead Retrieval App is available for purchase, to be used on your cell phone. Given the privacy laws and acts in Canada, a number of attendees have opted NOT to release their registration information. Having the Lead Retrieval will allow you to collect more leads.  For information on our lead retrieval system, please visit

All items that are shipped to the hotel (other than using Lange) must go through CheckT Westin Business Center ([email protected]). They handle all shipping needs. See their web page for pricing. 


Lange Transportation is the official carrier for the CTS event.  If you require transport services to and from your company or storage before or after the event, please contact Brittany Metcalfe, 289-247-0350 or email: [email protected]

If you choose to ship your materials with a transportation company or courier other than Lange, note that the Westin Harbour Castle will not receive items prior to the event.

Advanced warehousing must be done through Lange. Show Management will not be responsible for the delivery of the shipments.

Consult Expo has been appointed the Official Customs Broker for this event.  If you are an exhibitor coming in from outside Canada, you will need to contact them regarding your shipment in and out of Canada. You are free to use your own customs broker, however, we do ask that you contact them to let them know about your shipment.
